Decide once what a job costs

A catalogue entry carries its price, its tax rate and its unit — per home, per report, per hour. A price can be pinned to one customer or one project and given dates, so last year’s rate stays on last year’s work. An entry can also point at a form template: produce that form and you have produced the thing you sell.

Finished work becomes a draft

On the day you choose, the month’s priced forms are gathered by who pays and left as draft invoices. Draft on purpose: issuing mints a legal number and freezes the document, and a wrong price has to be caught before that, not after. Corrections go through a credit note, and voiding an invoice hands its forms back to be billed again.

Match a payment to what it settles

Record a payment and allocate it across documents, in part if that is what arrived. Import a bank file and Formif proposes matches — it reads the export your bank actually produces rather than one fixed shape, and books nothing until you accept, because an auto-booked wrong match costs more than typing. Refunds are recorded against the payment they came from.

See the ageing before it ages

Outstanding, overdue, collected this month, average days to pay — and receivables split by how long they have been waiting. Reminders go out on your own schedule, by email or as a notification in the app, and a public payment link lets a customer pay a document without an account. Stripe Connect and Mollie are supported, and the money lands in your own account with them.

More than one company

Each entity invoices as itself

Every issuing company keeps its own seller details, its own numbering, its own tax rates and its own payment provider. One set of credentials shared across sibling companies would pay the wrong bank account, so Formif does not share them. Seller details are copied onto a document when it is issued, so editing them later never changes what a customer already received.
